Accessing the Employee Directory
Managing Inclusion and Exclusion in the Employee Directory

The Employee Directory, a feature of the Sky phone system, provides a list of names and extensions of the employees at your organization. This directory is accessible through the phone's Directory or Directories menu as well as through the Account Portal and the Phone Assistant application.

Note that the Employee Directory is not directly editable, but the Name that appears in this directory can be changed by editing the Personal Information (First Name, Last Name) setting in the Contact of the Personal Information screen. See our Phone Profile Identification article for more information.

However, all users can edit their own Personal Contacts Phonebook and Decision Makers and Phone Managers can edit the Company Phonebook.

Accessing the Employee Directory

On Your Phone

To access the Employee Directory on your phone, use the instructions below for the brand of phone used in your Sky phone system:

Using 400-Series Phones

Please note that contacts from the Employee Directory, Personal Contacts, and Company Phonebook are combined together in the Directory on 400-series phones.

  1. Press the Directory function key.
  2. Scroll to highlight the desired contact.
  3. Press the Dial soft key.

To search for a contact using a 400-series phone:

  1. Press the dial pad numbers that correspond to the first few letters of the contact's first or last name until you see the desired contact in the search results displayed on the phone's screen (for example, to find the name Smith, dial the numbers 76484)
  2. Press the Backspace soft key to delete each unwanted character.
  3. When a match is found, press the Dial soft key to place a call or press the Exit soft key.

Using Cisco Phones

  1. Press the Directories button (open book icon).
  2. Select option 5 to access Employee Directory.
  3. Select from the following two options:
    • List Directory - Scroll through the list and if desired, press the Dial soft key to call someone.
    • Search Directory
      1. Type search criteria using the phone's keypad to select letters using the same method required by older mobile phones (quickly press each key multiple times to select the desired letter and case).
      2. Use the << soft key to delete each unwanted character.
      3. Press the Submit soft key.
      4. If a match is found, press the Dial soft key to place a call or press the Exit soft key.

In the Account Portal

To access the Employee Directory in the Portal, do the following:

  1. Log in to the Account Portal with your username (typically your business email address) and user password.
  2. Navigate to Home > Contacts.
  3. Select Employee Directory.

Managing Inclusion and Exclusion in the Employee Directory

Decision Makers and Phone Managers can manage the inclusion or exclusion of any employee's name and extension in the Employee Directory.

  1. Log in to the Account Portal with your username (typically your business email address) and user password.
  2. Navigate to Phone System > Users, which opens the Users screen.
  3. Find the desired user and click the link in the Service/Phone Name column.
    Alternatively, you can click to highlight the user's row, right-click, and select "Phone Settings" from the menu that appears
  4. In the Phone Settings screen that opens, find the Privacy settings in the Phone tab.
  5. Next to Directory, choose one of the following options, then click the check mark to the right of the setting to save the changed setting:
    • Include in on-phone employee directory
    • Do not include in on-phone employee directory
