Identification
When calls are placed and received, phones display identifying information via three Identification settings, which are Internal Caller ID, Outbound Caller ID, and Station Label. The latter two settings are managed in the Phone Settings screen, but Internal Caller ID is managed in the Personal Information screen.
Internal Caller ID
A user's Internal Caller ID is the name that is displayed on other users' phones when that user places internal 4-digit extension dial calls. Additionally, this name is listed in the Employee Directory and displayed on several screens in the Account Portal that are accessible to only Authorized Contacts.
NOTE: Changing a user's Internal Caller ID name can only be done by updating the
Contact Information name in the user's
Personal Information screen.
However, when a phone profile is not assigned to a contact, which means the Contact Name column of the Users screen displays "Unassigned" for that phone profile, the "Internal Caller ID" name in the Phone Settings screen can be edited (until the profile is assigned to a contact).
The Internal Caller ID name can be changed by Users or Authorized Contacts by doing the following:
- Log in to the Account Portal with your username (typically your business email address) and user password.
- Access the Contact tab of the Personal Information screen:
- Users - Navigate to Home > Settings > Personal Information.
- Authorized Contacts - Navigate to Phone System > Users and click the Contact Name link in the row of the desired user.
- In the Contact Information Name area, click the existing name to the right of First and/or Last, and edit as desired.
- To save the changed name(s), click the check mark to the right.
Outbound Caller ID
When placing calls, a user's Outbound Caller ID normally displays the main phone number for your organization or location on the phones that receive the calls. Only Authorized Contacts (Decision Makers and Phone Managers) are permitted to change the Outbound Caller ID associated with a user's phone profile. To change the Outbound Caller ID, do the following:
- Log in to the Account Portal with your username (typically your business email address) and user password.
- Navigate to Phone System > Users and click the Service/Phone Name link in the row of the desired user, which opens the Phone Settings screen.
- In the Identification area of the Phone tab, click the number area to the right of the Outbound Caller ID and select the desired phone number from the drop-down menu.
NOTE: It is not recommended to select a toll-free number (if one is available). Some telecom carriers (and individual users) block inbound calls that display toll-free numbers as the Outbound Caller ID. - To save the changed Outbound Caller ID, click the check mark to the right.
For more information about the different types of Caller ID, see the Caller ID article.
Station Label
By default, the "station label" for a phone is the direct dial phone number associated with the phone profile. When a user is logged into a phone, the station label is the number displayed in the top-right corner of the phone screen (for Cisco 7900 Series Phones). To change the station label, use the instructions below for the brand of phone used in your phone system:
Using IP 400-Series Phones
The station label displayed on a phone is the extension number associated with the profile and cannot be changed.
