Information

As a MiCloud Administrator, the following options are available to you for editing the users in your account:

For information about deleting users from your account, see Deleting Users.

NOTE: Before adding global users, you must contact Support to request phone numbers be added to your account for use with the Global Users service. For details about the Global Users service, see MiCloud Global Users.

Viewing User Details

As a MiCloud Administrator, you can view the details of users in your account.

NOTE:
  • Using the Search Users field, you can enter the user information (for example; username, phone number, and so on) and search for the user information displayed on the Users page.
  • Using the All Locations drop-down list, you can filter the user details based on the location.

The following information is displayed for each user:
  • NAME — the name of the user
  • USERNAME — the email address of the user
  • PHONE NUMBER — the phone number assigned to the user
  • EXTENSION— the extension assigned to the user
  • LOCATION— the location of the user
  • PRODUCT— the type of profile assigned to the user
  • PHONE SERVICE STATUS — the service status of the phone assigned to the user. The following are the phone service status details that can be displayed:
    • Active
    • Pending Activation
    • Order processing failed
    • (No phone service)
    • Order processing
    • Pending Cancelation
To view a list of users and user details:
  1. In the Account Console menu, click Users & Locations, and then click Users. The Users page displays the details of the users.

Activating Phone Service for Users

As a MiCloud Administrator, you can activate phone service for users in your account whose phone service status is Pending Activation.

To activate the phone service for a single user:
  1. In the Account Console menu, click Users & Locations, and then click Users.
  2. Click the name of the user whose phone service you want to activate.
  3. Click Quick Action > Activate Pending Users.
  4. In the Activate Pending User dialog box that opens, do the following:
    1. Select the Send the welcome email to selected users check box.
    2. Verify the details of the user and click Activate to change the phone service status of the user to Active.
To activate the phone service for multiple users:
  1. In the Account Console menu, click Users & Locations, and then click Users.
  2. Click the name of the users whose phone service you want to activate.
  3. Click Quick Action > Activate Pending Users.
  4. In the Activate <number of users> Pending Users dialog box that opens, do the following:
    1. Select the Send the welcome email to selected users check box.
    2. Verify the details of the user and click Activate to change the phone service status of the users to Active.

Editing User Details

As a MiCloud Administrator, you can edit the user details of users in your account.

To edit the user details of a single user:

  1. In the Account Console menu, click Users & Locations, and then click Users.
  2. In the page that opens, do either of the following:
    • Select the check box beside the user, and click Manage.
    • Click the name of the user.
  3. In the page that opens, update the user details and settings, and then click Update User.
NOTE: You cannot select or edit details for a profile (phone number or extension) that does not have a user assigned.

To edit the user details of multiple users:

  1. In the Account Console menu, click Users & Locations, and then click Users.
  2. In the page that opens, select multiple users and click Manage.
  3. In the Bulk actions page that opens, click Change users data in bulk.
  4. In the page that opens, make the required updates to any of the following user details of the users that you selected:
    1. FIRST NAME
    2. LAST NAME
    3. EMAIL
    4. USER NAME
    5. MOBILE NUMBER (OPTIONAL)
    6. FULL ADMIN
    7. BILLING ADMIN
    8. EMERGENCY CONTACT
NOTE: You can update the type of role (Full Admin, Billing Admin, and Emergency Contact) for selected users in bulk by clicking the Apply to selected check box. If you have selected all users, then click Apply to all users to update the details of all users in bulk.
  1. Click Save.
NOTES:
  • If your account has only one user with an Emergency Contact role, then you will not be able to unassign the role from the user. You must assign the Emergency Contact role to another user in the account before you can unassign the role from the user.
  • The Phone Service section displays the product price along with the currency symbol of the respective country. For example, it displays the price in $ (Dollar) for US accounts.

Adding or Updating Phone Services in Bulk

To add or update phone services in bulk:

  1. In the Account Console menu, click Users & Locations, and then click Users.
  2. In the page that opens, do one of the following and click Manage:
    • Select multiple users who do not have phone services
    • Select multiple users who have phone services
    • Select both the types of users
  3. If you selected multiple users who do not have phone services in Step 2, do the following:
    1. In the Bulk actions page that opens, click Add phone services and Add Ons in bulk.
    2. In the Add phone services page that opens, add the phones services. For information about adding phone services, see Adding Phone Services to the Users.
  4. If you selected multiple users who have phone services in Step 2, do the following:
    1. In the Bulk actions page that opens, click Update phone services and Add Ons in bulk.
    2. In the Update phone services page that opens, update the phone services. For information about updating phone services, see Updating the Phone Services of the Users.
  5. If you selected both types of users in Step 2, do the following:
    1. In the Bulk actions page that opens, click Add or Update phone services and Add Ons in bulk.
    2. In the dialog box that opens, select either of the following options and click OK:
      • Add phone services to users who don't have them
      • Update phone services to users who have them
    3. If you selected Add phone services to users who don't have them, the Add phone services page opens. For information about adding phone services, see Adding Phone Services to the Users.
      NOTE: Even if you select both types of users, only users who do not have phone services are listed in the Add phone services page.
    4. If you selected Update phone services to users who have them, the Update phone services page opens. For information about updating phone services, see Updating the Phone Services of the Users.
      NOTE: Even if you select both types of users, only users who have phone services are listed in the Update phone services page.

Adding Phone Services to the Users

To add phone services to users who do not have them:
  1. In the Add phone services page that opens, do the following:
    1. Add the following phone service details of the users you selected:
      • PRODUCT— From the Choose Product drop-down list, select a product for the user. When you select a product, the PHONE NUMBER field is automatically populated with an available number, a porting in number, or None based on the availability of phone numbers. The EXTENSION field automatically populates either with the last four digits of the assigned phone number or with the next available extension. If None is selected, the extension defaults to the next available extension.
        NOTE: The ADD-ONS and the PHONE NUMBER fields are enabled only if a product is assigned to the user. To add the product for selected users in bulk, click apply to selected below the Choose Product drop-down list. To add the product to all the users, click apply to all users below the Choose Product drop-down list.
      • ADD-ONS In the ADD-ONS column, click the Configure Add-ons button, enable the add-ons as needed from the Add-Ons list, and then click Save changes.
        NOTE: Some of the add-ons can be enabled only if a phone number is assigned to the user. For information about assigning a phone number to a user, see PHONE NUMBER.
      • PHONE NUMBER  When a product is assigned to a user, the PHONE NUMBER field is automatically populated with an available number, a porting in number, or None based on the availability of phone numbers. You can also select a phone number from one of the following sections:
        • None   Select None if you do not want to assign a phone number to the selected user.
          NOTE: If the product assigned to the user includes add-ons that need a phone number, selecting the option None displays an error message that the add-on requires a phone number.
        • Available — Select a number from the Available phone number list.
        • Porting In — Select a number from the Porting In phone number list.
          NOTE: After selecting a porting-in number, a temporary number is assigned to the user until the selected porting-in number is activated. A temporary number icon appears next to the phone number drop-down list. Hover over the icon to know about the status of availability of the Remote Call Forwarding (RCF) Target or temporary number in the system.
      • EXTENSION— This field is not editable. The EXTENSION field automatically populates either with the last four digits of the phone number selected or with the next available extension. When you select a new phone number, the extension also is updated depending on the selected phone number. When the PHONE NUMBER field is set to None, the extension defaults to the next available extension.
NOTE: The total number of products selected, including the add-on service products, is displayed at the top of the Add phone services page next to the shopping cart icon.
  1. Click Show Shopping Cart and review the order details.
  2. Under the Activate User and Send Welcome Email section, do the following:
    • Select the I want to activate added users. Billing starts today and services are available to use immediately. check box to activate the users immediately.
      NOTE: If you want to activate the users later, clear this check box. For more information, see the Activating Users section in the Editing User Details article.
    • Select the I want to send welcome email to added users. check box for a welcome email to be sent to the users.
      NOTE: If you do not want to send a welcome email to be sent to the users at this time, clear the Send Welcome Email check box. You can send or resend the welcome email to users individually at a later time. See Sending Welcome Emails to New Users for more information.
  3. Click Place Order to add phone services to the users.

Updating the Phone Services of the Users

To update the phone services of the users:
  1. In the Update phone services page that opens, do the following:
NOTE: The PRODUCT column is disabled. You cannot make any updates to this column.
  • PHONE NUMBER  From the phone number drop-down list, select a phone number from one of the following sections:
    • None   Select None if you do not want to assign a phone number to the selected user.
      NOTE: If the product assigned to the user includes add-ons that need a phone number, selecting the option None displays an error message that the add-on requires a phone number.
    • Available — Select a number from the Available phone number list.
    • Porting In — Select a number from the Porting In phone number list.
      NOTES:
      • After selecting a porting-in number, a temporary number is assigned to the user until the selected porting-in number is activated. A temporary number icon appears next to the phone number drop-down list. Hover over the icon to know about the status of availability of the Remote Call Forwarding (RCF) Target or temporary number in the system.
      • If the user assigned with a porting-in number is re-assigned to a number from the Available list, or None, the temporary number icon persists with a message that the temporary number will be removed.
  • EXTENSION— The extension of the user remains the same even if the phone number is changed to a new number or None. RingCentral recommends that you do not enter a new extension manually.
  1. Click Save.
    The phone service details are updated successfully.

    NOTE:

    • You can set the phone number as None, and set only the extension while adding or updating phone services. However, if the product assigned to the user includes add-ons that need a phone number, selecting the option None displays an error message that the add-on requires a phone number.

    Changing the PIN for a User

    As a MiCloud Administrator, you can change the PIN for users in your account.

    To change the PIN of a user:
    1. In the Account Console menu, click Users & Locations, and then click Users.
    2. In the page that opens, select the user and click Quick Action > Change PIN.
    3. In the Change PIN dialog box that opens, do the following:
      1. In the New PIN field, enter the new PIN as per the PIN Requirements displayed in the dialog box.
      2. In the Confirm New PIN field, re-enter the PIN that you entered in the previous step.
      3. Click Change to change the PIN.
