As a MiCloud Administrator, you can assign the phone service type and the phone number and/or extension for a user while you add or edit a user in your account. You can also change the phone number or extension for users who have a profile assigned.
To assign a phone service type, phone number, and extension to a user:
- On the Account Console menu, click Users & Locations and then click Users.
- Do one of the following:
- Click Quick Actions and then click Add Single User to add a new user.
- Select the user from the list of users to whom you want to assign a phone and accessories and click Manage.
- To assign a phone service type, in the edit user or add user panel, click Phone Service and select a phone service type for the user. For more information about available phone service types, see MiCloud Phone Service Types.
- To assign a phone number, under Phone Number, do either of the following:
- To assign an existing phone number:
- Select Existing from the first drop-down list, and then select an available phone number from the drop-down list in the adjacent field.
NOTE: You can select a phone number either from the Available section or from the Porting In section provided in the drop-down list. If you select a porting-in number, a temporary number is assigned to the user until the selected porting-in number is activated. - To assign a new phone number:
NOTE: You cannot assign a new phone number to a UK account. Therefore, this step is not applicable for UK customers.
- Select New from the drop-down list. A new phone number will prepopulate in the adjacent field.
- If you want to assign a different phone number, click the prepopulated phone number.
The Choose New Number dialog box is displayed. By default, a list of available phone numbers is displayed, based on the present location of the user.
- Select the Use these criteria to automatically select a number for future users check box if you want the same criteria to be used for selecting a phone number for subsequent assignments.
- Click Choose.
- An extension auto-populates when a phone service type is selected. To change the extension from the auto-populated extension, select the Extension field, and enter a new extension.
NOTE: User extensions must not start with the same digits used for dialing local emergency services. -
Click Order Product & Update User.
The Review Add Order dialog box is displayed.
- Review the order details and then click Place Order to assign the phone service type, phone number, and extension for the user.
NOTE:
- The I want to activate added user. Billing starts today and services are available to use immediately. check box and I want to send welcome email to added user check box are selected by default.
- If you clear the I want to activate added user. Billing starts today and services are available to use immediately check box, the message We will start billing for added users when they are activated. will appear in the Next Invoice Charges section.
To change the phone number and/or extension for a user:
NOTE: Phone number and extension changes can be made only for users who already have a profile assigned.
- On the Account Console menu, click Users & Locations and then click Users.
- From the list of users, select the name of the user whose phone number or extension you want to change, and click Manage.
- In the edit user panel, click Phone Service and then click Change next to the Phone Number field.
The Change Number dialog box appears.
- Do one of the following:
- Select Replace with an existing number if you want to change the assigned phone number to another existing phone number on your account. Select a phone number from the drop-down list of existing phone numbers.
NOTE: You can select a phone number either from the Available section or from the Porting In section provided in the drop-down list. If you select a porting-in number, a temporary number is assigned to the user until the selected porting-in number is activated. - Select Replace with a new number if you want to add a new phone number to assign to the user. A new phone number will auto-populate in the number field.
NOTE: You cannot add a new phone number to assign to a user in a UK account. Therefore, the Replace with a new number option is not applicable for UK customers.
- To assign a new phone number of your choice from a list of available phone numbers, click the prepopulated phone number. The Choose New Number dialog box is displayed. By default, a list of available phone numbers is displayed, based on the present location of the user.
- Select the Use these criteria to automatically select a number for future users check box if you want the same criteria to be used for selecting a phone number for subsequent assignments.
- Click Choose.
- Select Unassign number without replacing if you want to remove the phone number that is currently assigned to the user without replacing it with a new one.
- Select the Also update extension check box if you want to replace the current extension for the user with a new one.
- Click Change to save your changes and update the user phone number and/or extension. The Release previous number? dialog box is displayed. Do one of the following:
- Select Keep Number if you want to keep the user's previous phone number for future use.
- Select Return Number if you want to return the user's previous phone number. This will remove the phone number from the account.
The Review Add Order dialog box is displayed.
- Review the order details and then click Place Order to update the phone number and/or extension for the user.
