Moving Checklist

When moving your company or one of your locations, please communicate the following information to our Support team prior to your move:

  • A minimum of 60 days advance notice of your move (due to circuit install timelines).
  • The expected move date.
  • Circuit Demarc location information provided through the Address Verification Form.
  • Signed "Quote" for services at the new "moving to" location for a 12-month renewal.

You should ensure that there is backup connectivity at the new location. In most instances, you can use a backup "tunnel" that utilizes a third-party data connection. If we are unable to fail over to your third-party data connection, we may be able to provide you with a backup circuit connection. Contact your Customer Success Manager or Support representative to see which options are available from RingCentral.

You must complete the Address Verification Form for each location that is moving by following the instructions below:

  1. Click this link: Address Verification Form
  2. In the PowerForm Signer Information web page that opens, enter your name and business email address and click the Begin Signing button.
  3. Go to your email Inbox and find the validation email from DocuSign, which displays "Address Verification Form" in the subject.
    • NOTE: If you do not see this validation email in your Inbox, check your Junk/Spam folder and if the email is found there, add the @docusign.net domain to the safe list in the Junk settings area of your email system.
  4. Copy the signing validation code displayed in the email and either return to the previous web page opened via the form link or click the RESUME SIGNING button in the email.
  5. Paste the signing validation code in the Access Code field and click VALIDATE.
  6. When the form opens, click CONTINUE if needed to access the form.
  7. For each page of the form, enter accurate information in each of the required fields (bordered in red) and in all other applicable fields. When information on one page is complete, scroll down to the next page or click NEXT on the left side of the page.
  8. When you get to the last page of the form and all necessary information has been entered, click the Sign button next to the Signature field and do one of the following:
    • If your signature is displayed, click the FINISH button at the top or bottom of the form.
    • If this is your first time filling out a DocuSign form using the name and business email address entered in step 2 above, you are prompted to adopt a signature. When your signature is set, click the ADOPT AND SIGN button at the bottom of the form.
  9. When the form has been signed, a pop-up dialog will prompt you with options to download and print. You will also receive another email from DocuSign where you can view the completed form.
  10. After completing the Address Verification Form, contact the Customer Success Manager for your MiCloud or Sky account, or create a Support Case to ensure that your location move is processed. For more information about creating a Support case, see the Opening a Support Case and MiCloud and Sky Support articles.

NOTE: Be sure to read the Circuit Installation Requirements section of this article to ensure that a smartjack can be mounted.

Upon receiving the completed Address Verification form, we will generate a quote for your new T1/router bundle. After the quote is signed, we will order your new T1 circuit.

Timelines and Expectations

This area of the article contains the following sections:

Circuits and Connectivity
Circuit Installation Requirements
Post Circuit Installation

Circuits and Connectivity

In the event that your move is an expedite and we are unable to provide connectivity in time, a Support representative will work with you and discuss contingency options for connectivity until the circuits have been installed. Note that we cannot guarantee expedited circuit installations.

In some instances, you can purchase your own broadband connection and tunnel into our network should your system go down for any reason.

Circuit Installation Requirements

To avoid circuit installation delays, it is essential that we have the correct information for the circuit install demarcation point and accurate site contact information. Plywood is required in your demarcation area (dimensions: 4'x4' in diameter and 3/4" thick) for smartjack installation.

T1 circuits usually require a site visit by installation technicians. A representative from your organization must be available and on-site at the new space between 8am-6pm EST for each circuit installation. In the event that the T1 circuit installation needs to be rescheduled, fees may apply from the carrier.

Post Circuit Installation

After the circuit has been installed, it takes approximately three to seven days for the T1 to be functional. During this time, you should receive a new Managed Router by mail. There are instructions in the box that should be easy to follow, but if you have issues or concerns, contact our Support Team.

Setting Up Your Network

A Support representative will work with your IT personnel or IT partner to ensure your Local Area Network (LAN) is ready in the new location.

Please note the following:

  • We are responsible for managing your circuits and the router.
  • Your IT representative is responsible for setting up your local area network configurations.
  • You are responsible for the move and re-connection of phones.

Day of Move

During your office move, inbound calling will function as normal while your phones are being relocated to your new office. You will not miss any voicemails and all calling data can be accessed through the Account Portal. You should contact a Customer Success Manager or  Support to communicate your official move date so we can ensure E911 and 411 compliance.

You will also be required to return the old router to avoid additional charges. In order to avoid any fees, please contact Support to obtain a shipping label and case number.

NOTE: When you contact Support to initiate your move, you will be given a case number. This case number must be written on the address label or some other location on the outside of the box so we can accurately credit your account.

Billing

RingCentral will start billing for all connectivity services at your new location and stop billing for connectivity services at your old location on the day of your move. If your move has extended past two weeks from the date your new circuits have been installed, RingCentral will need to begin billing you for these services at your new location in addition to current billing.

Faxing

RingCentral is not responsible for analog fax lines. Please work with your local carrier to have analog lines moved/installed.
