A dial-by-name directory is an Auto Attendant menu option (and a Call Flow Editor component) for the Sky phone system that enables callers to reach personnel in their organization or location by dialing the first three letters of a first name and/or last name. Within the Call Flow Editor, a Dial by Name can be configured in the following three ways:
- Dial by first name - dial the first three letters of the party's first name.
- Dial by last name - dial the first three letters of the party's last name.
- Dial by first or last name - dial the first three letters of the party's first or last name.
Authorized Contacts (Decision Makers and Phone Managers) can log into the Sky Account Portal to access the Call Flow Editor to create a new or modify an existing Dial by Name directory. You can also create a Support Case to communicate a request to the Sky Client Programming team to create or make changes to a Dial by Name as an option in your organization's Auto Attendant.
NOTE: All users of a company's Sky phone system must record their names within the voicemail system to implement an effective Dial by Name directory. Including and Excluding Users from Dial by Name Directory
When new users are added to an existing account via the Add User feature, there is a Do not include in dial-by-name groups checkbox. This checkbox can be selected to exclude the new user from the Dial By Name directory, which is utilized by Auto Attendants that process inbound calls for your account. To include or exclude an existing user from the Dial by Name directory, you can use the On Phone Directory setting in the Features area of the Phone tab in the Phone Settings screen. Q: Can I remove people from a Dial by Name directory?
A: Yes, see Including and Excluding Users from Dial by Name Directory above. You can also edit the Dial by Name in the Call Flow Editor or create a Support Case to communicate the necessary information to Support.
Q: I have more than one office, can I have more than one dial-by-name directory? I don't want all of my employees lumped under one directory.
A: Yes, an Authorized Contact can create a Support Case to request the configuration of separate dial-by-name directories based on your locations.
Q: What if the user's first or last name only has 2 letters?
A: It does not make a difference. Dialing 2 letters will allow you to reach the correct person. For example, dialing 2 will allow you to reach someone named "AJ".
Q: How do I access the directory with a smartphone?
A: The Sky dial-by-name directory uses dual-tone multi-frequency (DTMF), which is a function of a standard telephone keypad
NOTE: Because some smartphones have full keyboards instead of traditional telephone keypads when dialing a number containing convenience letters, you must either dial the associated numeric keys or perform additional steps. For example, on some smartphone devices, you can press the Alt key followed by the desired letter to generate the appropriate DTMF tone.
