This article provides an overview of the different types of voicemail that are available in the Sky phone system. To access basic instructions for navigating the voicemail system in a downloadable, printable PDF file, see the Sky Voicemail System Quick Reference.

Types of Voicemail

The following types of voicemail are available in a Sky phone system:

General Voicemail

Your organization can set up an Auto Attendant option that allows callers to leave a message in a general voicemail box that is not associated with any individual user's phone extension. This type of voicemail box typically greets callers with information specific to your organization and is accessible by a receptionist or other administrative personnel. Note that general voicemail functionality can be set up when an Authorized Contact (Decision Maker or Phone Manager) creates a Support Case to communicate the request to Support.

Personal Voicemail

Each Sky phone profile type, except for Courtesy and Analog phone profiles, provides a personal voicemail box that callers reach when a call is not answered. Note that personal voicemail functionality can be disabled when an Authorized Contact (Decision Maker or Phone Manager) creates a Support Case to communicate the request to Support.

NOTE: Each phone profile has a voicemail box capacity of 200 messages with a 10-minute per message maximum time limit.

Shared Voicemail

If authorized, you can access another user's voicemail box, which is commonly known as "shared voicemail." This functionality is useful for authorized personnel who need to screen a coworker's voicemail or monitor the general voicemail box for a company. Read the following to learn more about shared voicemail:

Broadcast Voicemail

You can record a voicemail message and send it to a coworker's extension or to a voicemail group (group of coworkers). To send a voicemail to a voicemail group, an Authorized Contact has to first obtain the distribution numbers for each of the desired voicemail groups. This can be done by utilizing Groups functionality to create the desired voicemail groups and distribution numbers yourself. To use broadcast voicemail, do the following:

  1. Access the voicemail system:
    • If you are using an IP 400-series desk phone, press the Voicemail function key.
    • If you are using a Cisco 7900-series desk phone, press the Messages button (envelope icon).
    • If you are calling from a phone other than your own desk phone, dial your own phone number, and press the * key when you hear the voicemail greeting. (If you are not prompted to enter your password, press the * key a second time.)
  2. When you hear the audio prompt to enter your password, enter your voicemail password (PIN) and press #.
  3. Press 5 on your keypad.
  4. Press 8 on your keypad.
  5. At the tone, record your message; press # when finished.
  6. When prompted, do one of the following:
    • Enter the desired extension number followed by the # key and repeat until all extensions have been added.
    • Enter the 1 to 4-digit distribution number for the desired voicemail group followed by the # key.
  7. When you have added all extensions or distribution groups to which you want to forward the message, press # again and follow the prompts.
  8. Press 1 to review the message.
  9. Press 2 to review the list of extensions or distribution numbers.
  10. Press 3 to revise the list of extensions or distribution numbers.
  11. Press 4 to re-record.
  12. Press 5 or hang up to send.
  13. Press 9 to cancel.
