Group Voicemail

Group Voicemail is a Group Feature in the Sky phone system that enables members of one voicemail group to broadcast or forward a voicemail message to all members of another voicemail group. This is done by entering a 1 to 4 digit distribution number that is associated with the voicemail boxes of all members of a specific voicemail group. Voicemail group membership consists of groups of coworkers within your organization's phone system. Authorized Contacts can determine the number of voicemail groups to create and can include and exclude certain coworkers phone numbers from being able to access this feature.

NOTE: Any phone in your Sky phone system can broadcast a voicemail message to one or more individual voicemail boxes just by accessing the voicemail system. For instructions, see the Broadcast Voicemail section of the Voicemail article.

Sending Group Voicemails

If an Authorized Contact has enabled you to use group voicemail, you can do the following:

  • Broadcast Voicemails - Record a voicemail message and broadcast it to the desired voicemail group.
  • Forward Voicemails - Listen to a voicemail message and forward it to the desired voicemail group.

To perform either of the two functions listed above, you first need to obtain the distribution number for the desired voicemail group. The 1 to 4-digit distribution number is used to deliver a voicemail message to the voicemail boxes of all members of a specific voicemail group.

Note that voicemail groups are created in the Manage Group wizard, which is available in the Groups screen of the Account Portal. For each desired voicemail group, the target voicemail group is selected from the Scope menu and the distribution number is entered in the Option field of the Permissions panel. For detailed instructions, see the Creating a Group section of the Groups Management article.

NOTE: If a 4-digit distribution number is used, make sure this number is not in the range of the existing phone number extensions used in your phone system.

Broadcast a Voicemail Message to a Voicemail Group

To record a voicemail message and broadcast it to a voicemail group, follow the instructions in the Broadcast Voicemail section of the Voicemail article.

Forward a Voicemail Message to a Voicemail Group

To listen to a voicemail message and forward it to a voicemail group, do the following:

  1. While listening to a voicemail message, press option 6 (forward to voicemail).
  2. When prompted, enter the distribution number for the desired voicemail group followed by the # key.
  3. After following all prompts, the voicemail message is sent to the voicemail boxes of all members of the target Group.

Requesting Voicemail Group Distribution Numbers or Changes to Voicemail Groups

To request voicemail group distribution numbers or make changes to the voicemail groups in your phone system, Authorized Contacts (Decision Makers and Phone Managers) can use Groups Management.
