As a MiCloud Administrator, you can configure programmable buttons for users in your organization. Programmable buttons function as shortcuts for operations that would normally require pressing two or three buttons to accomplish the same task.

MiCloud users can change Dial Number (Speed Dial) functions associated with programmable buttons on their phones and button boxes. Users with 6930 and 6940 IP phones can also configure a programmable button for the Mobile Line feature.  See Configuring Your Programmable Buttons for more information. All other programmable button features must be configured by a MiCloud Administrator.

All custom buttons are configurable except for the button used for the first call appearance, which is permanently set to provide call appearance information (that is, the ringing indicator and call timer information for an incoming or active call). The placement of the first call appearance button varies by phone model; sometimes it's on the upper right, and sometimes it's on the upper left. Users can configure labels for custom buttons they configure for speed dial. Administrators can configure labels for custom buttons configured for other purposes.

Configuring Programmable Buttons

  1. On the Account Console menu, click Phone System and then click Programmable Buttons.
  2. Click the name of the user whose programmable phone buttons you want to configure.
  3. Click IP Phone or the button box for which you want to program buttons.
  4. For each button that you want to configure, do the following:
    1. Click the row for the button you want to configure.
    2. In the Function drop-down list select the function to associate with the button. (For descriptions of the functions, see the table above.)
    3. In the Long Label and Short Label fields, enter a label to appear next to the button on the phone LED display to remind the user of the button’s function. (The Long Label is used on phone models that support more characters, and the Short Label is used when the Long Label is not available.)
    4. When applicable, enter additional information (such as an extension or external number) in the displayed fields to finish configuring the button.
  5. Click Save.

Copying Programmable Buttons to Other Users

This feature allows the programmable buttons configured for one user to be applied to other users within the same account.
  1. On the Account Console menu, click Phone System and then click Programmable Buttons.
  2. Click the name of the user whose programmable phone buttons you want to configure.
  3. Click Copy settings.
    The Copy Programmable Buttons Settings dialog box is displayed.
  4. From the Choose User drop-down list, select the user to whom you want to copy the programmable buttons settings, and then click Add.
  5. Repeat step 5 to copy the buttons to more users. 
    The selected users are displayed in the list.
  6. Click Save.
  7. Click OK in the confirmation dialog box. 

The following table describes the supported functions for MiCloud phones. Not all programmable functions apply to all phone models.

This feature is useful for operators, executive assistants, trainers, and supervisors. To initiate a barge in on a specific extension, enter the extension. If an extension is not supplied, the initiator will be prompted to enter an extension to barge in each time the button is pressed.
Note: The ability of a user to initiate or receive Barge In is determined by the settings group that the user is assigned to. For information about enabling Barge In for a user group, see Settings Groups.
Bridged Call AppearanceExtension, Backup Extension, Call Stack Position, Call Forward Destinations, Bridged Conferencing optionsSee call activity and interact with calls for another extension. This bridged information, which provides more detailed information than the Monitor Extension functionality, offers faster call handling between users.
Note: Some parameters may be read-only for aBCAs.

Call AppearanceNoneRepresents a phone call on your extension.
Note: Call Appearance is not supported on Button Box.
Call MoveNoneSwitch a call from one phone to another without disrupting the conversation.
Example: If a user is participating in a conference call, the user can move the call from a desk phone to a cell phone and leave the office, without disrupting the call.

Change AvailabilityAvailability StateChange the availability state on the phone.
You can configure the button to change the availability state to one of the following:
  • Available
  • In a Meeting
  • Out of Office
  • Vacation
  • Custom
  • Do Not Disturb

Change Default Audio PathAudio PathChange the default audio path on the phone.
You can configure the button to change the default audio path to one of the following:
  • Speaker
  • Headset
  • Wireless Headset
  • Bluetooth Headset
This feature does not apply to the 6900-Series IP phones.
Conference BlindExtension, external number, or none (If no number provided, phone will prompt for number.)Join a party into a conference call without first consulting the user on the extension or external number to which you are joining the other party.
To join a party to a specific extension or external number, enter the extension or external number. If an extension or external number is not supplied, the initiator will be prompted to enter an extension or external number to which to join the party.
Conference ConsultativeExtension, external number, or none (If no number provided, phone will prompt for number.)Join a party into a conference call after first consulting the user on the extension or external number to which you are joining the other party.
To join a party to a specific extension or external number, enter the extension or external number. If an extension or external number is not supplied, the initiator will be prompted to enter an extension or external number to which to join the party.
Conference IntercomExtension or none (If no number provided, phone will prompt for number.)Join a party into a conference call after first using intercom to consult the user on the extension to which you are joining the other party.
To join a party to a specific extension, enter the extension. If an extension is not supplied, the initiator will be prompted to enter an extension to which to join the party.
Dial MailboxExtension or none (If no number provided, phone will prompt for number.)Call another user’s voice mailbox directly without ringing their phone.
To call a specific user’s mailbox, enter the extension. If an extension is not supplied, the initiator will be prompted to enter an extension each time the button is pressed.
Dial Number (Speed Dial)Extension or external numberDial an extension or an external number.
Group PickupExtensionAnswer an incoming call to an extension in a pickup group.
Note: The extension must be a valid extension for an existing pickup group.

Hotline (Speed Dial)Extension and Call actionInitiate a hotline call. A hotline is a ringdown circuit between two extensions; for example, an executive and an assistant. Hotline calls can be configured as speed dial or intercom calls.
Note: A hotline button must be programmed on each user’s phone, otherwise the hotline call is processed as a regular call.
IntercomExtension or none (If no number provided, phone will prompt for number.)Initiate an intercom call. When you intercom another user, instead of the recipient's phone ringing, the called party will hear a tone and then you will be connected to their speakerphone.
To intercom a specific extension, enter the extension. If an extension is not supplied, the initiator will be prompted to enter an extension each time the button is pressed.
Mobile LineNoneSwitch the call audio from your Bluetooth-paired mobile phone to your desktop 6930 or 6940 IP phone. This function is available if your mobile phone is synchronized with your desk phone through the Mobilelink feature.
Monitor ExtensionExtension, Ring delay before alert, Caller ID options, No connected and connected call actionsMonitor the extension of another user so that you can help answer calls on behalf of that extension. The button can serve dual purposes based on whether or not the monitoring party is on a call.

ParkExtension or none (If no number provided, phone will prompt for number.)Park a call on another extension.
To park a call to a specific extension, enter the extension. If an extension is not supplied, the initiator will be prompted to enter an extension each time the button is pressed.
PickupExtension or none (If no number provided, phone will prompt for number.)Pick up an incoming call for another extension.
To pick up calls to a specific extension, enter the extension. If an extension is not configured, the initiator will be prompted to enter an extension each time the button is pressed.
Pickup/UnparkExtension or nonePick up an incoming call for another extension or unpark a call that is parked on another extension.
To pick up and unpark calls on a specific extension, enter the extension. If an extension is not configured, the initiator will be prompted to enter an extension each time the button is pressed.
Record CallNoneThe Record Call button functionality depends on how Connect Call Recording is configured for the user.
Record all calls (Always On Call Recording): Press the Record Call button to pause call recording; press the button a second time to resume call recording.
Note: It is recommended that you configure a long and short label for this button which describes the pause/restart functionality; for example, Pause.
User initiates recording (On-demand Call Recording): Press the Record Call button to start call recording; press the button a second time to stop call recording. Only external calls can be recorded.
Call recordings are saved and can be accessed from the call recording portal. For more information about accessing your call recordings, see Accessing Call Recordings (MiCloud).
Record ExtensionExtensionRecord an active external call on another user’s extension; only an extension involved in an external call can be recorded.
This feature is not supported on the 6900-Series phones.
Send Digits Over CallDigitsThe MiCloud system allows users to send a preconfigured set of DTMF tones out during a call. This feature is useful for quickly navigating external interactive voice response (IVR) systems as well as external systems requiring an account code.
Note: The maximum number of digits allowed is seven; valid characters are 0-9, *, and #
Silent CoachExtension or none (If no number provided, phone will prompt for number.)Listen to and coach someone during a call without the outside party hearing.
To initiate Silent Coach on a specific user extension, enter the user’s extension. If an extension is not supplied, the initiator will be prompted to enter an extension number each time the button is pressed.

Silent MonitorExtension or none (If no number provided, phone will prompt for number.)Silently monitor a call on another extension. You are added to the existing call without being heard or seen by any party. This feature is useful for users such as supervisors.
To initiate Silent Monitor for a specific user extension, enter the user’s extension. If an extension is not supplied, the initiator will be prompted to enter an extension number each time the button is pressed.

Toggle HandsfreeNoneToggle between enabling and disabling handsfree mode. When handsfree mode is enabled, dial tone is disabled so that the user can use a headset or speakerphone to answer or make calls from the IP phone. This feature does not apply to the 6900 Series IP phones.
Toggle Lock/UnlockNoneA BCA user can override the default privacy setting using the Toggle Lock/Unlock programmable button. For example, the user can lock the call to make the call private and prevent other BCA users from joining the call.
Note: Toggle Lock/Unlock is not supported on Button Box.
Transfer BlindExtension or external number (If no number provided, phone will prompt for number.)Transfer a call to another party without first consulting that party.
To transfer calls to a specific extension or external number, enter the extension or external number. If an extension or external number is not configured here, the user is prompted to enter an extension or external number each time the button is pressed.
Transfer ConsultativeExtension or external number (If no number provided, phone will prompt for number.)Transfer a call to another party after first consulting that party.
To transfer calls to a specific extension or external number, enter the extension or external number. If an extension or external number is not configured here, the user is prompted to enter an extension or external number each time the button is pressed.
Transfer IntercomExtension or none (If no number provided, phone will prompt for number.)Transfer a call to another party after first using intercom to consult that party.
To program the button to transfer calls to a specific extension, enter the extension. If an extension is not configured here, the user is prompted to enter an extension each time the button is pressed.
Transfer to MailboxExtension or none (If no number provided, phone will prompt for number.)Transfer a call directly to another user’s voice mailbox.
To program the button to transfer calls to a specific mailbox extension, enter the extension. If an extension is not configured here, the user is prompted to enter an extension each time the button is pressed.
Transfer WhisperExtension or none (If no number provided, phone will prompt for number.)Transfer a call to another party after first using whisper page to consult that party. Whisper page allows a user to join a call on another user’s extension and speak to that user without the other call participant hearing. The user can speak back to the user that initiated the whisper page privately using the whisper page mute feature.
To program the button to transfer calls to a specific extension, enter the extension. If an extension is not configured here, the user is prompted to enter an extension each time the button is pressed.
UnparkExtension or none (If no number provided, phone will prompt for number.)Unpark a call that is parked or on hold on another extension.
To program the button to unpark calls on a specific extension, enter the extension. If an extension is not configured here, the user is prompted to enter an extension each time the button is pressed.
UnusedNoneRemove any programmed functions from the programmable button and clear the label displayed on the phone.
Whisper PageExtension or none (If no number provided, phone will prompt for number.)Join a call on another extension and speak to the person without the other call participant hearing. The person can speak back to the user that initiated the whisper page privately using the whisper page mute feature.
To program the button to whisper page a specific extension, enter the extension. If an extension is not configured here, the user is prompted to enter an extension each time the button is pressed.

Whisper Page MuteNoneRespond privately to the person who initiated a whisper page without the other call participant hearing.
