Configuring Bridged Call Appearances

Information

Two types of bridged call appearances are available on your MiCloud phone system.

  • Bridged Call Appearance (BCA): A standalone extension that is shared among multiple users. A BCA has an extension and a call stack depth. Each user with access to the BCA can monitor a different call stack position.
    NOTE: You must have available programming numbers on your account to create a new BCA. If additional programming numbers are needed for your account, contact Support.
  • Associated Bridged Call Appearance (aBCA): A bridged call appearance that is associated with a specific user's extension. An aBCA allows an Assistant to function on behalf of an Executive by answering or making calls for the Executive via programmed call appearance buttons on the Assistant's phone.
    See Configuring Associated Bridge Call Appearances for information about configuring aBCAs.

BCA extensions are included in the Employee directory and in system dial-by-name directories. Caller ID is not displayed for inbound BCA calls.

Configuring Bridged Call Appearances

As a MiCloud Connet Administrator, you can add and copy BCAs, edit and delete BCAs, and configure the call hold option for BCAs on your account.

Adding a Bridged Call Appearance

  1. On the Account Console menu, click Phone System, and then click Bridged Call Appearances.
  2. Under Manage Bridged Call Appearances, do one of the following:
    • To create a new BCA, click Add.
    • To create a new BCA by copying an existing BCA, select the BCA you want to copy and then click Copy.
    The Add Bridged Call Appearance or Copy Bridged Call Appearance dialog box is displayed.
  3. Next to Type, select Bridged Call Appearance.
  4. Under Bridged Call Appearance Options, enter or update the desired information for each parameter as described in the BCA Settings table below.
    NOTE: Click Show more settings to view all configurable settings.
  5. Click Save.

Setting the Call Hold Option

You can choose to play a hold reminder tone only on the phone that placed the BCA call on hold or on all phones that have the BCA configured. This setting applies to all BCA extensions.
  1. On the Account Console menu, click Phone System, and then click Bridged Call Appearances.
  2. Under Set Default, do one of the following:
    • Select the Enable My Hold Reminder Rings checkbox to play a hold reminder tone only on the phone that placed the BCA call on hold.
    • Clear the Enable My Hold Reminder Rings checkbox to play a hold reminder tone on all phones that have the BCA configured.

Configuring an IP Phone Button for a BCA Extension

A user answers a BCA call by pressing an IP phone button that is assigned to a BCA call stack position. IP phone buttons that answer calls are configured to handle calls to a specific call stack position of a BCA. A button can be programmed for each position in the call stack. For information about configuring programmable buttons for users on your account, see Configuring Programmable Buttons. For details about the available BCA button settings, see the BCA Button Settings table below.

NOTE: When you set or change the parameters for a BCA, those parameters are used everywhere the BCA is used.

BCA Settings
ParameterDescription
NameSpecifies the name of the BCA.
ExtensionSpecifies the extension on which the BCA receives calls.
The BCA extension is assigned automatically. If desired, you can change this extension to another available programming extension.
LocationSpecifies the location to which the BCA is assigned.
Phone NumberSpecifies the phone number to assign to the BCA. Select one of the following:
  • Choose from all locations - to select a number from any location.
  • Choose from selected location - to select a number from the selected location.
  • Don't assign a number - to not assign a number to the BCA.
NOTES:
  • When a phone number is selected and the BCA configuration is saved, a programming profile is created automatically using this phone number and the entered extension.
  • Global Numbers are not available to assign directly to BCAs; to map a Global Number to a BCA, see Assigning Phone Numbers. For more information about Global Numbers, see MiCloud Global Numbers.
Outbound Caller IDSpecifies the number to use as the outbound caller ID for the BCA.
PrivacySpecifies whether or not to include the BCA information in the account dial-by-name directory.
  • Select the Include in System Dial-By-Name Directory to include the BCA in the account dial-by-name directory.
  • Clear the Include in System Dial-By-Name Directory to exclude the BCA from the account dial-by-name directory.
Call Forward BusySpecifies the number to forward inbound BCA calls to when the calls are not answered because the specified call stack depth has been reached. Select the desired maximum call stack depth, and enter the desired extension.
NOTE: To forward calls to an external number, you must set the call forward destination to an extension with a telephony profile and then configure the call routing for that extension to route to the desired external number.
Call Forward No AnswerSpecifies the numbers to forward inbound BCA calls to when the calls are not answered after the specified number of rings. Select the desired number of rings, and enter the desired extension.
NOTE: To forward calls to an external number, you must set the call forward destination to an extension with a telephony profile and then configure the call routing for that extension to route to the desired external number.
Conferencing OptionsSpecifies the bridge conferencing options for the BCA. Select one of the following enablement options for the BCA:
  • Disable Conferencing - to disable bridge conferencing for the BCA.
  • Enable, others may not join (default) - to enable bridge conferencing for the BCA and initially prevent other users of the BCA from joining active BCA conference calls.
  • Enable, others may join - to enable bridge conferencing for the BCA and initially allow other users of the BCA to join active BCA conference calls.
Do one of the following to select the conference tone option for the BCA:
  • Select the Enable tone when parties join or leave to play a tone whenever another party joins or leaves a conference call on the BCA.
  • Clear the Enable tone when parties join or leave if you do not want to play a tone whenever another party joins or leaves a conference call on the BCA.
 
BCA Button Settings
ParameterDescription
Bridge Call AppearanceSpecifies the BCA to assign to the programmable button.
Call stack positionSpecifies the call stack position to monitor.
Calls to a BCA occupy distinct call appearance buttons and are identified by their position in the call stack. IP phone buttons that answer calls are configured to handle calls to a specific call stack position of a BCA. A button can be programmed for each position in the call stack.
Delay Before Audibly RingingSpecifies the number of times to silently ring the phone before audibly ringing the phone for an incoming call on the BCA. Select one of the following:
  • None - to start ringing the phone audibly on the first ring.

  • 1, 2, 3, or 4 - to ring the phone silently for the selected number of rings before ringing the phone audibly.

  • Don’t Ring - to not ring the phone audibly.

Show Caller ID AlertSpecifies when to show caller ID on the monitoring phone for inbound calls on the BCA extension. Select one of the following: 
  • Never - to not show caller ID for inbound BCA calls.

  • Only when ringing - to show caller ID for inbound BCA calls only when the phone is ringing.

  • Always - to show caller ID for inbound BCA calls when the phone is ringing and as long as the call is connected.

Allow Auto-AnswerSpecifies the answering options for the BCA. Do one of the following:
  • Select the Enable Auto-Answer When Ringing checkbox to enable the user to answer a BCA call by picking up the handset or by pressing the programmed IP phone button, speaker button, headset button, or an unused call appearance button.

  • Clear the Enable Auto-Answer When Ringing checkbox to enable the user to answer a BCA call only by pressing the programmed IP phone button or the Answer button.

NOTES:
  • The Allow Auto Answer of a BCA call works when Delay Before Audibly Ringing parameter is set to a value other than Don't Ring.

  • If you are using headset with 6900-Series IP Phones, ensure that Audio mode on the phone is set to headset or headset/speaker or speaker/headset

  • The Allow Auto Answer of a BCA call is not supported on 6900-Series IP phones running firmware older than version 6.1.

No connected call actionSpecifies the action to take when there is no incoming or active call on the BCA and the programmed BCA button is pressed: Select one of the following:
  • Answer only - to configure the button to perform no action.

  • Dial tone - to configure the button to provide a dial tone so an outbound call can be initiated on the BCA.

  • Dial extension - to configure the button to dial a specific extension; type the desired extension in the field and then click Search to validate the entered extension.

  • Dial external - to configure the button to dial an external phone number; type the desired external number in the field.
    The phone number is automatically formatted in E.164 format and prepended with your external dial digit.
    NOTE: When entering non-US/Canada phone number, you must enter the complete phone number, including + and the country code, in order for the phone number to be saved in the correct format.

  3. The main phone screen displays the Caller ID of the phone while on an active call.

  3. Pressing the solid red LED for the programmed BCA button will connect you to the currently active call (if BCA conference is enabled).
When the call is answered by the Boss or the Agent
  1. A steady amber LED is lit on the programmed BCA button.
  2. The Caller ID is not displayed on the programmed BCA call cell.
  3. The main phone screen displays the Caller ID of the phone while on an active call (if applicable).
  4. Pressing the solid amber LED for the programmed BCA button will connect the user to the currently active call (if BCA conference is enabled).

  4. The actual BCA Caller ID is displayed on the main phone screen.

  2. A steady green LED and the actual Caller ID is displayed on the main phone screen for ~5 seconds.
  3. The active call goes on hold with the blinking amber LED.

Inbound calls to the BCA or the SCA
Ringing when the phone is idle:
  1. The red LED blinks on the programmed BCA button
  2. The Call 1 Caller ID is not displayed on the main phone screen of the idle phone.
  3. The Answer, To Voicemail, and the Cancel softkeys are displayed when the BCA is ringing.
Inbound calls to the BCA or the SCA
Ringing when the phone is idle:
  • The green LED  blinks on the programmed BCA button and the Caller ID is not displayed on the call cell or on the main phone screen of the idle phone.
Auto Answer disabledNeverRinging on an active call:
  1. The red LED blinks on the programmed BCA button.
  2. The incoming BCA Caller ID is not displayed on the main phone screen while ringing.
  3. The softkeys are not displayed when the BCA is ringing.

  2. The Call 1 Caller ID is not displayed on the main phone screen when the BCA is ringing- overtaking the phone's active caller’s Caller ID.
  3. The Answer, To Voicemail, and the Cancel softkeys are displayed while the BCA is ringing.
