If you are a MiCloud Decision Maker or Phone Manager, you can view, add, import, or export a list of phones in your organization that are registered with the MiCloud phone system.
NOTES:
- All phones manually registered with the MiCloud phone system will need to be re-registered if unplugged or without power for 7 days or longer.
- Phones registered by adding their MAC addresses in the Account Portal do not have this limitation and will retain their registration indefinitely.
The following information about each phone in your organization is displayed on the Phones page of the Account Portal:
- Model - the phone model
- MAC Address - the MAC address of the phone
- State - the current status of the phone
- Assigned User - the user the phone is currently assigned to
- Logged in User - the user who is currently logged in to the phone
- Location - the geographic location of the phone
To view a list of phones:
- Log in to the Account Portal.
- On the Phone System menu, click Phones.
The Phones page opens displaying a list of phones in your organization. - To filter the list, do one of the following:
- From the drop-down list above the toolbar, select the location to view the list of phones available in a specific location.
- Type your filter criteria in the search field on the toolbar.
- Type your filter criteria under the appropriate column heading.
Adding a Phone
To add a phone:
- Log in to the Account Portal.
- On the Phone System menu, click Phones.
The Phones page opens. - Click Add Phone on the toolbar.
The Add Phone dialog box opens. - In the MAC Address field, type the MAC address of the phone that you want to add to the list.
- From the User drop-down list, do one of the following:
- Select the user to assign the phone to.
- Select Anonymous (Unassigned) to leave the phone unassigned.
NOTE: If you choose not to assign the phone to a user, select the location for the phone from the Location drop-down list.
- Click Save.
Importing a List of Phones
You can import a list of up to 500 phones from a .CSV file. The file from which you want to import phones must be in .CSV format and must contain the following fields in the header row:
The following table describes the data to include in the .CSV file for each phone that you want to import:

Extension | The extension number to which you want to assign the phone. NOTE: This field can be left blank. However, if an extension is provided, it must be a valid user extension that already exists on the account. |
NOTE: The phone import tool supports importing all phone models that are supported for MiCloud. However, the tool does not validate that the imported MAC addresses belong to supported phone models.
To import a list of phones:
- Log in to the Account Portal.
- On the Phone System menu, click Phones.
The Phones page opens. - Click Import Phones on the toolbar.
The Import Phones dialog box opens.
Note: To download a sample .CSV file, click Example CSV. The PhoneImportExample.csv file is downloaded to your system. - From the Default Phone Location list, select the default location to which the imported phones are to be assigned.
NOTE: Phones that are not assigned to a user extension will be assigned to this default location. Phones assigned to a user extension will be assigned to the location of the user. - Click Browse beside File To Upload.
- Navigate to and select the .CSV file with the phones list to be imported, and then click Open.
- Click Import.
The phones listed in the .CSV file are imported and a dialog box is displayed indicating the status of the imported phones. - Click Close to close the dialog box and return to the Phones page.
The successfully imported phones are listed in the Phones page.
NOTE: Users with 6900-series phones must log in to their assigned phone in order to sync with the MiCloud phone system.
Ordering Hardware
You can order hardware from the Phones page of the Account Portal from your account.
To order hardware:
- Log in to the Account Portal.
- On the Phone System menu, click Phones.
- On the Phones page, click Order Phones on the toolbar.
The Order Hardware page opens. - Under Phones, select the phones and quantity of each phones to order.
- To select the accessories to order, do either of the following:
- Click Show Available Accessories under a device.
The Available Accessories dialog box opens. Select the accessories and the quantity of each accessory to order and click Add to Cart. - Under Accessories, select the accessories and quantity of each accessory to order.
- Scroll to the top of the page and click Show Shopping Cart at the top-right corner, Your Shopping Cart is displayed.
- Under the Order Summary section, review the order details.
- To update the hardware order, do the following:
- To add more units of a selected product, click
in the to rent or to buy fields. - To remove units of a selected product, click
in the to rent or to buy fields. - To remove a selected product from the order, do either of the following:
- Click Remove beside the product.
The Remove from cart? dialog box opens. Click Remove to remove the selected product from the cart. - Clear the check box beside the product.
NOTE: This removes the product only from the order and not from the cart.
- Review the updated order details and click Continue.
- On the Shipment Details page, do the following:
- From the Charge To drop-down list, select the location to bill for the hardware.
- From the Ship To drop-down list, do one of the following:
- Select the location to ship the hardware. You can retain the default location or select a location from the drop-down list.
- Select Alternate Shipping Address to enter a new shipping address.
To update the selected address, click Change Shipping Information and make the required changes.
- From the Shipping Speed drop-down list, select the shipping speed preference for the order.
NOTE: Shipping costs are calculated at the time of shipment. Expedited shipping incurs an additional cost.
- Click Place Order to confirm your order.
The Your Order is Submitted! dialog box opens with your order number. - Click OK.
Exporting a List of Phones
You can export a list of phones in your organization in .CSV format to your system.
To export a list of phones:
- Log in to the Account Portal.
- On the Phone System menu, click Phones.
The Phones page opens. - Click Export on the toolbar.
The list of phones is downloaded to your system as a .CSV file with information such as model, MAC address, state, assigned user, logged-in user, location, assigned-user extension, and logged-in user extension.
Editing Phone Details
You can edit the details of all the phones in your organization from the Phones page of the Account Portal.
To edit the phone details:
- Log in to the Account Portal.
- On the Phone System menu, click Phones.
The Phones page opens, and a list of phones in your organization is displayed. - In the MAC Address column, click the MAC address of the phone you want to edit details for.
The Edit Phone dialog box is displayed. - Edit the phone details as desired, and then click Save.
Removing a Phone
To remove a phone:
- Log in to the Account Portal.
- On the Phone System menu, click Phones.
The Phones page opens displaying a list of phones in your organization. - Select the check box next to the phone you want to remove.
- Click Remove Phone on the toolbar.
- Click Yes to confirm that you want to remove the phone.
Rebooting a Phone
To reboot a phone:
- Log in to the Account Portal.
- On the Phone System menu, click Phones.
The Phones page opens displaying a list of phones in your organization. - Select the check box next to the phone you want to reboot. You can select multiple phones for reboot.
NOTE: You can reboot 6900 series and 400 series phones only. - Click Reboot Phone on the toolbar, an alert dialog box opens.
- Click Yes to confirm that you want to reboot the phone.
