When using the instructions in this article, if you are using a mobile device, please substitute the word “tap” wherever you see the word “click.”

Applications Overview

When you access any of the MiCloud applications listed below, you are directed to the MiCloud Authentication Portal. After signing in with your existing credentials, you are directed back to the desired application. The Authentication Portal provides customers with a unified sign in experience for these applications and access to Single Sign On (SSO) functionality as explained below.

For customers who use Microsoft Azure Active Directory or Okta services for authentication, when (1) new versions of the applications listed below are installed and (2) all users are configured for that service, your organization can have access to Single Sign On functionality. Applications preceded by * are not yet enabled for Single Sign On.

Note: New versions of web apps are installed automatically, desktop apps are installed by your organization's IT personnel, and mobile apps are installed manually or automatically by users on their mobile phones.

Authentication Overview

The following provides an overview of the sign-in experience by type of authentication when accessing the above types of applications.

Authentication

When you initially access a MiCloud application, you sign in by entering your MiCloud username, which is usually set to your business email address, and your MiCloud password.

The following describes the user experience when you subsequently access a MiCloud application.

  • When accessing a web application, if you previously signed in to any of the web applications using the same browser and device, you sign in by entering only your username (if you previously saved the password and it's auto-populated).

  • When accessing any desktop application, you sign in by entering both your username and password.

  • When accessing any mobile app, if you previously signed in to the app using the same mobile device, a sign-in is normally not required unless you logged out, changed your password, did not use the app in the last 15 days, or installed a new version.

NOTE: When your MiCloud password expires (90 days after it was last changed), you are prompted to change it.

Microsoft Azure Active Directory or Okta Authentication

When you initially access a MiCloud application using the Single Sign On option, you sign in by entering your Azure Active Directory or Okta enterprise username (business email address) and password.

NOTE: For Okta authentication, IDP-initiated SSO logins are not supported. Only SP-initiated SSO logins are supported.

The following describes the user experience when you subsequently access a MiCloud application:

  • When accessing a web application, if you previously signed in to any of the web applications using the same browser and device, you sign in by entering only your username.

  • When accessing any desktop or mobile application, if you previously signed in to the same application on the same device, a sign in is normally not required unless you logged out, changed your password, did not use the app in the last 15 days, or installed a new version.

  • When accessing any application on a browser or device that was not used previously to sign in, you sign in by entering both your username and password in the Azure Active Directory or Okta authentication screens.

NOTES:

  • To learn how Authorized Contacts can configure their MiCloud phone system with Azure Active Directory, which enables users to access MiCloud applications using their enterprise credentials, see Configuring SSO for MiCloud with Microsoft Azure AD.

Sign in to a MiCloud Application

  1. Open the desired MiCloud application or access the application's URL.

  2. When the "Sign in to MiCloud" or application "Sign in" screen appears, enter your MiCloud username and click Next. If you forgot your username, which is usually set to your business email address, contact an Authorized Contact for your MiCloud phone system. Note that your MiCloud username is managed in the Personal Information page in the Account Portal.

    • NOTE: If your username is associated with more than one MiCloud account, a "Multiple accounts located" message is displayed. If this occurs, select the desired MiCloud system from the drop-down menu or enter the Account Number/Partner Label for your MiCloud account. For some applications, this message appears when you enter your password.

  1. When the next screen appears, depending on the type of authentication used for your MiCloud account, follow the MiCloud Authentication or Microsoft Azure Active Directory or Okta Authentication instructions below:

    • MiCloud Authentication – If your account uses MiCloud credentials to authenticate, enter your MiCloud password and click Next. To see the entered password, click the show password show password icon on the right side of the password field.

      • If you entered the correct password, the desired MiCloud application opens. If your password is expired or will expire soon, you are prompted to change your password. For instructions, see the Change Password section of this article.

      • If you entered an incorrect password, an error message is displayed and the password field is outlined in red. If needed, you can click the Forgot Password link to reset your password. For instructions, see the Forgot Password section of this article.

    • Microsoft Azure Active Directory or Okta Authentication - If your account uses Microsoft Azure Active Directory or Okta credentials to authenticate, click the Single Sign On button and perform the following steps. If you want to use the “Enter your password” option instead of Single Sign On, see the MiCloud Authentication steps above.

      NOTE: Your username, which is managed in the Personal Information page in the Account Portal, must match your enterprise username (business email address) to use Single Sign On functionality. If your MiCloud username does not match your enterprise username and you want to use Single Sign On, contact an Authorized Contact for your MiCloud phone system

      Single-Sign-On

      1. For Microsoft Azure Active Directory authentication, when the "Enter password" screen appears, enter your enterprise password and click Sign in. For Okta authentication, when the "Sign In" screen appears, enter your enterprise username and password and click Sign In.

      2. If a Microsoft “Enter code” or similar Okta screen appears (multi-factor authentication is enabled), locate the code provided to you via the security method configured in Azure Active Directory or Okta (text message, app message, phone call, etc.), enter the code and click the Verify option.

      3. If a Microsoft “Stay signed in” or similar Okta screen appears, choose the desired option.

      4. If you entered the correct password and code in the steps above, the desired MiCloud application opens.

      5. If you entered an incorrect password, an error message is displayed. If needed, you can click the Forgot my password link to reset your password within Azure Active Directory or Okta.

 

Forgot Password

NOTE: If your MiCloud account uses Azure Active Directory or Okta for authentication, resetting your enterprise password is managed within Azure Active Directory or Okta. For more information, contact an administrator in your organization.

Change Password

NOTE: If your MiCloud account uses Azure Active Directory or Okta for authentication, changing your enterprise password is done within Azure Active Directory or Okta. For more information, contact an administrator in your organization.

When your MiCloud password expires (90 days after it was last changed) and you are prompted to change your password, or if you want to proactively change your password before it expires, follow the steps below. Optionally, you can go to https://auth.mitel.io/changepassword and then skip to step 2 below to change your password.

  1. Sign in to the desired MiCloud application, access Settings or Preferences, and select the Change Password option. In some applications, this option does not exist or this requires navigating to the Account > Login area.

  2. When the Change Password screen appears, enter your username, which is usually set to your business email address, and click Next. Otherwise, go to the next step.

  3. In the next screen that appears, enter your current password in the first input field, enter your new password in the second input field, and re-enter your new password in the third input field. The strength of the new password is displayed below the password input fields. Note that a new MiCloud password must be different from the current password and include the following:

    • a minimum of 8 characters and a maximum of 16 characters
    • at least one number and at least one English letter
    • at least one of these special characters @ ! # $ % & _ - = +
    • no spaces
  4. Click Next and an email is sent to you to confirm that your password was successfully reset.
