Information

As a MiCloud Administrator, you can request to transfer your company's existing domestic and domestic toll-free telephone numbers from your current service provider to MiCloud.
NOTE: This article provides information about number transfer requests for US and Canadian accounts.

Prerequisites:

  • You will need a copy of a recent phone bill for the numbers you want to transfer.
    The phone bill must be from the previous billing cycle and must be no more than 30 days old.
  • If you need to transfer numbers from multiple carriers, you must complete a separate transfer request for each carrier.
  • Domestic and domestic toll-free numbers cannot be combined on a single transfer request; separate requests are needed.

Viewing a List of Transfer Requests

You can view a list of all transfer requests for your account and the status of each request on the Phone Numbers > Transfer Requests page of the Account Console.
The Transfer Requests page displays the following information:
  • Request — the request number
  • Current Provider —the name of the vendor who provides transfer request numbers
  • Status — the current status of the request
  • First Number —the starting number of the phone number to be transferred
  • Total Numbers the number of phone numbers requested for transfer
  • Number Type —the type of phone number (domestic or domestic toll-free number)
  • Submitted On  the date the request was created 
  • Last Updated — the date the request was last updated
  • Requested Date the date the transfer request was submitted
  • Scheduled Date — the date the services of phone numbers in the transfer request will be activated
To view a list of transfer requests for your account:
  1. On the Account Console menu, click Phone Numbers and then click Transfer Requests. The Transfer Requests page opens displaying the list of transfer requests.
NOTE: On the Transfer Requests page, if the transfer request is in the Submitted state, to view the transfer request, click View in the transfer request you want to view.

Creating and Submitting a Number Transfer Request

  1. On the Account Console menu, click Phone Numbers and then click Transfer Requests. The Transfer Requests page opens.
  2. Click Add in the upper-right corner of the Transfer Requests page.
  3. On the page that opens, select the I have read through the readiness checks and would like to proceed check box and click Start a Request.
  4. In the Transfer Requests > Start a Request page that opens, do the following:
    1. In the Current Provider Account Details section do the following:
      1. Under the Identify your current provider section, enter the name of the current service provider in the Enter your current provider field.
      2. Under the Choose the type of numbers you would like to bring to MiCloud section, select either of the following:
        • Domestic Phone Number — to request a transfer of domestic numbers
        • Domestic Toll-Free Number — to request a transfer of domestic toll-free numbers
    2. Under the General Account Info section, do the following:
      1. In the Account Name field, enter the name of your account as it appears in your current telecom service provider's system.
      2. In the Account Number field, enter the account number of your account with your current service provider.
      3. If a PIN or password is required to authorize changes on your account with your current service provider, enter the PIN or password in the Account PIN or Password (if required) field.
      4. (Domestic Numbers Only) In the Billing Telephone Number (BTN) field, enter the Billing Telephone Number for the account.
        NOTE: For Canadian customers, if you enter an incorrect phone number, the following error message appears during validation: The BTN does not belong to Canada.
        For US customers, if you enter an incorrect phone number, the following error message appears during validation: The BTN does not belong to the US.
      5. (Domestic Numbers Only) In the Service Address section, select either Choose from existing locations or Enter Service Address and update or enter new data in the Country, Address, City, State, and Zip fields.
      6. (Domestic Toll-Free Numbers Only) In the Billing Address section, select either Choose from existing locations or Enter Service Address and update or enter new data in the Country, Address, City, State, and Zip fields.
      NOTE: The address provided here must exactly match the address on your current service provider invoice. 
      If you select a Canadian location, in the Province drop down, you must select the Canadian province.
    3. Under the Recent Invoice section, click Upload to upload the recent bill or invoice to confirm the accuracy of the request.
    4. Click Next. The Add Phone Numbers page opens.
  5. In the Add Phone Numbers page, do the following:
    1. Select either of the following options, add the relevant phone numbers, and click Add Numbers: The added phone numbers are displayed.
      • Enter phone numbers separately — enter a phone number or a list of phone numbers separated by commas or pasted from Excel
      • Enter a range of phone numbers — enter a range of phone numbers by entering the first number in the From number field and the last 4 digits of the last number in the To field
    2. Click + Add More Numbers to add additional numbers that must be transferred.
    3. To remove any of the added phone numbers, do the following:
      1. Select the check box for each number you want to remove or select the None Selected check box to select all the numbers.
      2. Click Delete Selected. The Confirm Deletion dialog box opens.
      3. Click Delete.
    4. In the Are there additional numbers on this account with your current provider that you are not transferring to MiCloud? field, select one of the following options:
      • Yes
      • No
      • I don't know
    5. Click Next.
  6. (Domestic Numbers Only) In the Caller ID Name section, do either of the following:
    • If you do not want to set an outbound caller ID for the transferred numbers, select Don't set a name and then click Next.
      If you select this option, most recipients will see the city and state associated with the phone number.
    • If you want to set an outbound caller ID for a transferred number, select Set a customized Caller ID name, enter the outbound caller name or number in the Caller ID Name Text field, and then click Next.
  7. (Domestic Numbers Only) In the Directory Assistance section, do the following:
    1. Next to Directory Listing, select either of the following:
      • Add, update, or remove a listing — to make changes to the way your company is listed in the phone book and directory assistance for any of the transferred numbers.
      • Don't make any changes — If you do not need to make changes to the way your company is listed in the phone book and directory assistance for any of the transferred numbers.
    2. If you selected Add, update, or remove a listing, do the following:
      1. In the Listing Number list, select the number for which you want to make changes.
      2. Do either of the following:
        • Select the Add (or keep) a 411 directory assistance listing check box to add a new or change the existing directory assistance listing for the selected phone number.
        • Clear the Add (or keep) a 411 directory assistance listing check box to remove the selected number from directory assistance.
      3. Do either of the following:
        • Select the Publish (or keep published) in print directory ("yellow pages") check box to add a new phone book or change the existing phone book listing for the selected phone number.
        • Clear the Publish (or keep published) in print directory ("yellow pages") check box to remove the selected number from the phone book.
      4. In the Listing Name & Address field, enter the name of your company as you want it to appear in the phone book and directory assistance.
      5. In the Listing Name & Address drop-down list, select the geographic location to associate with the selected phone number in the phone book and directory assistance.
      6. Optional: In the Listing Category field, enter a minimum of three characters of the category name. The list of available categories is displayed in the Listing Category drop-down list. Select the directory heading from the Listing Category drop-down list under which you want the listing to appear.
    3. Click Next.
  8. In the Summary page that opens, do the following:
    1. Verify that the details displayed are accurate. If not, click Edit to edit the required information.
    2. Under the Phone Numbers section, select the All phone numbers are accurate check box.
    3. Click Next.
  9. In the Authorization page that opens, do the following:
    1. Under the Charge for this transfer request section:
      1. Select the billing location from the Billing Location drop-down list.
        NOTE: The charges for the transfer request will display the currency corresponding to the region that is selected. For example, for the US region, the currency is displayed in $ and for the Canada region, it is displayed in CAD.
      2. Select the By submitting this request, you authorize RingCentral to charge the amount above, plus any applicable taxes and fees. check box.
      3. Under the Target Transfer Date section, do the following:
        1. In the Target Transfer Date field, enter the desired date for your numbers to transfer.
        2. To select the earliest available date for your number transfer, select the Date First Available check box.
          NOTE: If you selected this option, be prepared for the immediate transfer of your numbers. Your numbers might be transferred at short notice.
      4. Under the Additional section, enter any additional information you want to pass on to RingCentral in the Additional Comments field.
      5. Under the Authorization section:
        1. Do one of the following:
          • Select an existing user from the Choose an existing user field.
          • Enter the contact name, contact email, and contact phone number in the respective fields.
        2. Click download to print and sign the Letter of Authorization.
        3. Click Upload to upload the signed copy of the Letter of Authorization.
          NOTE: Once a Letter of Authorization is uploaded, information entered in previous steps is no longer editable.
      6. Click Submit to complete the transfer request.

    You can click Next and Back to navigate through the transfer request pages. You can also click Save for Later to save the details of the number transfer request and return to the request at a later time.
    NOTES: 

    • After you have completed all required fields in the transfer request and uploaded the signed Letter of Authorization, the Save for Later option is no longer available. Instead, you can submit the request or click Back to review the transfer request details.
    • After a number is added to a transfer request, the number is available to assign to users and call flow components on your account. Temporary numbers are automatically set up for users or call components assigned transferring numbers; this enables users to continue receiving calls while the number transfer is in progress. See Temporary Numbers for more information; you will need to contact your current service provider to finalize the configuration of temporary numbers. 

    Modifying and Deleting Transfer Requests

    If necessary, you can make changes to or delete a transfer request before you submit it. Once a request has been submitted, you must contact Support if you need to make any changes to the request.

    1. On the Account Console menu, click Phone Numbers and then click Transfer Requests. The Transfer Requests page opens.
    2. On the Transfer Requests page, do the following:
      1. If the transfer request is in Incomplete and Signature Required status, click Continue to modify the transfer request.
      2. If the transfer request is in Action Required status, click Take Action to modify the transfer request.
    3. To update the request, make any necessary changes and then click Submit.
    4. To delete the request, click Delete Request located on top of the Transfer Request page for the user.
    NOTE: While modifying the transfer request, if you select the Save for Later option to save the details of the number transfer request, you will remain on the same page. However, the message "Transfer Request <TR number> is saved and is incomplete" will be displayed.
